10 nightmare client calls every MSP should be ready for

IT Nightmares

Every MSP eventually faces a nightmare phone call: ransomware, a critical server outage, a building fire, a hacked email account or some other crisis that can bring a client’s business to a halt. ChannelPro Founder and Publisher Michael Siggins argues that the first five minutes of an incident can shape the entire recovery, making preparation far more important than improvisation.

Siggins outlines 10 scenarios MSPs should plan for, including ransomware, insider sabotage, suspected intrusions, business email compromise, compliance investigations, server failures, internet outages, shared-drive loss and VoIP disruptions. His advice is consistent across each: document responsibilities, test backups and restore processes, tighten access controls, rehearse incident response and make sure clients understand what will happen before an emergency occurs.

The scenarios are designed to be used as prompts for tabletop exercises, helping MSP teams answer three basic questions before a crisis hits: “Do we have a plan for this? Do our clients know what to expect? Who does what in the first five minutes?” Those questions can expose gaps in an MSP’s response process before a real emergency forces the team to find them under pressure.

Preparation can also strengthen the client relationship after the crisis passes. Siggins notes that “one person’s horror story can also be another person’s shining moment.” An MSP that responds calmly, communicates clearly and restores operations quickly can demonstrate its value at exactly the moment a client is most likely to recognize it.

For IT leaders, the bigger lesson is that crisis response should be treated as part of the service offering, not simply an operational contingency. Regular tabletop exercises, documented escalation paths and clear client expectations can help providers respond faster while creating opportunities to discuss backup, business continuity, security, compliance and other services before a disaster exposes the need for them.
